RESERVATIONS

To be included as an Exhibitor at any Frontline Gaming event an Exhibitor (booth/sponsor/vendor) Application must be approved of and terms & conditions read along with full payment must be received prior to the event. 

  • Booth space will NOT be assigned without payment for all items outlined in the reservation process.

Exhibitors will not be approved for a booth if they directly compete with Frontline Gaming in any way or are deemed a conflict of interest to Frontline Gaming. 

FEES, SPECIFICATIONS AND PAYMENT

Each Standard Booth space is 10’ x 10’, includes 2 tables, 2 chairs, and 2 event convention badges. 

Each Premium Booth space guarantees a more desirable/high traffic 10’ x 10’ space open on two sides and includes 2 tables, 2 chairs, and 2 event convention badges.

Prices for booths at LVO:

Standard Booth: $1,000 

Premium Booth: $1,500

Additional tables, chairs, hired labor, internet, badges, and other amenities are available for purchase.

Electrical outlet access, dedicated internet access (hard lines or wifi depending on venue), focused lighting, booth dividers/curtains and other items may be available at additional cost that must be requested upon submitting the Exhibitor Application. These items must be paid for at the same time the Exhibitor booth space balance is paid.  

  • Payment may be by credit or debit card using PayPal, or by check. Make all checks payable to: Frontline Gaming. There will be a $35.00 charge for checks returned for insufficient funds, and a cashier’s check, money order, or electronic payment will be required to replace any returned check.

  • Exhibit space assignments will be confirmed by email, only when Frontline Gaming receives payment.

OPERATION

  • Booth location  will be assigned as detailed by convention Frontline Gaming staff; all decisions as to assignments shall be final and binding.

  • It is the exhibitor’s responsibility to ensure sale of any product is made to only those individuals who possess a current Frontline Gaming event badge/pass. 

  • Exhibitors may begin setting up in the Exhibitor Hall on the Wednesday before the event from 8AM - 10PM. Prior to setup all vendors must check-in at the main registration desk.

  • In the event the vendor fails to occupy space by Wednesday at 10PM, Frontline Gaming has the right to use said unoccupied space to suit its own convenience, including renting said space to another vendor, without rebate or allowance due to defaulting Exhibitor.

  • Exhibitors are expected to have their booth open and staffed during the Frontline Gaming event’s hours of public operation. 

  • Exhibitors  may not begin dismantling or packing any table or display before the official close of the Exhibitor Hall on Sunday. Dismantling or packing prior to that time needs to be pre-coordinated with the Frontline Gaming events coordinator and may result in forfeiture of any future exhibitor application approval.

LIMITATIONS

  • Exhibitors may not sublet or assign any portion of their space without prior consent of Frontline Gaming.

  • If an exhibitor or their staff wishes to submit one or more games to demo at the convention, approval must be given in advance. If an exhibitor would like to run an ticketed event, they need to fill out the appropriate event submission form.

  • If an Exhibitor is found selling product deemed illegal, infringing on protected copyright/trademarks, dangerous, which were not explicitly declared at time of reservation, Frontline Gaming may choose to immediately remove the Exhibitor from the event without refund. Frontline Gaming has the right to deny an Exhibitor from vending items at our discretion before the event and during the event.


SECURITY AND LIABILITY

  • No Exhibitor or member of an Exhibitor's company may promote, display, or behave in a manner considered offensive to decency or good taste as determined by Frontline Gaming.

  • Frontline Gaming will arrange for personnel to control access to the Exhibitor Hall, but is not responsible for any injury to vendors’ agents, helpers, employees, or damage to or theft of property from any cause prior to, during, or subsequent to Frontline Gaming events. Exhibitors hereby expressly agree to indemnify and hold harmless Frontline Gaming against any and all claims for such loss, damage, or injury.

  • There will be no general access to the Exhibitor Hall during its closed hours. Exhibitors  who need to gain access to their booth during closed hours should make arrangements for such with the event staff. Exhibitors  will be allowed into the hall at least one hour before it opens to the public each day.

DECORATIONS AND SIGNAGE

  • Decorations, signs, banners, or any other material, may NOT be taped, nailed, stapled, or otherwise fastened to ceiling, walls, painted surfaces, columns, furniture, or floors.

  • No holes may be drilled, cored, or punched on the property of the venue. No adhesive-backed (stick-on) decals or similar items may be used in the building. Damage fees will be assessed.

  • Special banner and sign hanging from the ceiling is closely regulated by the venue (please contact the Frontline Gaming event coordinator for information if you have a special banner or sign to hang).

  • No Exhibitor may place signage or conduct any form of promotion outside of their designated booth.

GENERAL RULES AND REGULATIONS

  • Exhibitors must follow the rules of the venue.

  • Electrical equipment and wiring must conform to national and local electrical codes.

  • Compliance: All Exhibitors  and advertisers are obligated to comply with these Terms and Conditions. Failure to comply will result in the refusal of advertising materials, alteration or removal of unacceptable products/activities, or closure of displays/space found to be in noncompliance. In this case, no refunds will be issued for table/space, badges or advertisement

  • Frontline Gaming, reserves the right to reject any Exhibitor Application, for any reason, as it sees fit.

CANCELATION POLICY

  • Cancellation by Frontline Gaming: If an Exhibitor  fails to comply with the payment terms as outlined in this application, or fails to adhere to the rules, regulations and/or policies set forth in this Agreement, Frontline Gaming reserves the right to cancel Exhibitor reservations without issuance of a refund (including deposit). Cancellation by Exhibitor: Exhibitors  wishing to cancel a reservation must provide Frontline Gaming with the request for cancellation in writing. Cancellation of a reservation may result in the forfeiture of all monies previously paid to Frontline Gaming. Booth/table costs and advertisement may not be refunded. Note: Frontline Gaming may reassign or resell any cancelled table/space, at its sole discretion, regardless of previously paid table/space costs.

  • Frontline Gaming reserves the right to decline any advertising material submitted if its content is deemed inappropriate for the convention.
