EXHIBITOR TERMS & CONDITIONS

Reservations
To participate as an exhibitor at any Frontline Gaming event, an exhibitor application must be submitted and approved. All terms and conditions must be accepted, and full payment must be received prior to the event.
Booth space will not be assigned until payment for all selected items is received.
Exhibitors may be declined if they directly compete with Frontline Gaming or are deemed a conflict of interest.
Fees, Specifications, and Payment
Each Standard Booth is 10’ x 10’ and includes two tables, two chairs, and two convention badges.
Each Premium Booth is a 10’ x 10’ space in either a high traffic location, open on two sides, and includes two tables, two chairs, and two convention badges.
Pricing:
Standard Booth start at: $1,000
Premium Booth start at: $1,500
Additional items such as tables, chairs, labor, internet, badges, and other amenities are available for purchase.
Electrical access, dedicated internet, lighting, booth dividers, and similar items may be available at an additional cost and must be requested during the application process. These items must be paid in full along with the booth balance.
Payment may be made by credit or debit card via PayPal, or by check payable to Frontline Gaming. A $35 fee will be charged for returned checks. Replacement payments must be made via cashier’s check, money order, or electronic payment.
Booth assignments are confirmed by email only after payment is received.
Operation
Booth locations are assigned by Frontline Gaming staff and may be subject to change throughout the booking process. All placement decisions are final.
Exhibitors are responsible for ensuring that sales are made only to individuals with a valid event badge.
Setup begins on Wednesday prior to the event from 8:00 AM to 9:00 PM and continues Thursday from 8:00 AM - 1:00 PM. Exhibitors should check the current years schedule as hours may vary each year. All exhibitors must check in at the main registration desk before setup.
If a booth is not occupied by 12:00 PM on Thursday, Frontline Gaming reserves the right to reassign the space without refund.
Exhibitors are expected to keep their booths open and staffed during all public event hours.
Booths may not be dismantled or packed before the official close of the exhibitor hall on Sunday without prior approval. Early breakdown may impact eligibility for future events.
Limitations
Exhibitors may not sublet or share booth space without prior written approval.
Any games or demos must be approved in advance. Ticketed events require submission through the official event application process.
Exhibitors found selling illegal, unsafe, or unauthorized products, including items that infringe on intellectual property or were not disclosed during registration, may be removed from the event without refund.
Frontline Gaming reserves the right to deny or restrict sales at its discretion.
Security and Liability
Exhibitors and their staff must conduct themselves in a manner consistent with professional standards and good taste.
Frontline Gaming will provide general security for the exhibitor hall but is not responsible for loss, damage, or injury to exhibitor property or personnel at any time. Exhibitors agree to hold Frontline Gaming harmless from any related claims.
Access to the exhibitor hall outside of public hours is restricted. Exhibitors requiring access must coordinate with event staff. Early access will be provided at least one hour before opening each day.
Decorations and Signage
No materials may be attached to walls, ceilings, floors, or venue property using tape, nails, staples, or adhesives without prior show management approval.
No drilling, coring, or modifications to the venue are permitted. Damage fees will apply.
Hanging signage must comply with venue regulations and requires prior approval.
All signage and promotional activity must remain within the exhibitor’s designated booth space.
General Rules and Regulations
Exhibitors must comply with all venue and Frontline Gaming rules and regulations.
All electrical equipment must meet applicable codes and standards.
Failure to comply with these terms may result in removal of materials, closure of the booth, or denial of participation without refund.
Frontline Gaming reserves the right to reject any exhibitor application at its discretion.
Cancellation Policy
If an exhibitor fails to meet payment terms or comply with event policies, Frontline Gaming may cancel the reservation without refund.
Exhibitors wishing to cancel must submit a written request. Cancellation may result in forfeiture of all payments made. Booth and advertising fees are non refundable.
Frontline Gaming reserves the right to reassign or resell any cancelled space.
Frontline Gaming may decline any advertising materials deemed inappropriate for the event.
